Job Summary:
The Project Officer will support the implementation, coordination, and monitoring of CEI’s research projects and initiatives. This role requires strong organizational skills, attention to detail, and the ability to collaborate with multiple stakeholders. The Project Officer will also assist in financial management, procurement, and reporting to ensure project efficiency and compliance.
Key Responsibilities:
- Project Coordination & Administration
- Assist in planning and managing project timelines, milestones, and deliverables.
- Coordinate with internal and external stakeholders to ensure smooth project execution.
- Prepare reports, meeting minutes, and documentation for ongoing projects.
- Maintain and update project databases and documentation.
- Finance & Budget Management
- Assist in tracking project expenditures and ensuring budget compliance.
- Support financial reporting, including budget forecasts, expense tracking, and funding reports.
- Work closely with the finance team to process payments, invoices, and reimbursements related to project activities.
- Procurement & Contract Management
- Support procurement processes by coordinating purchase requests, vendor selection, and contract management.
- Ensure all procurement activities comply with institutional policies and funding guidelines.
- Maintain records of procurement and vendor transactions.
- Event & Workshop Organization
- Assist in planning and executing workshops, seminars, and conferences.
- Coordinate logistics, including venue setup, participant registration, and communication.
- Support the development of event materials, presentations, and reports.
- Reporting & Documentation
- Prepare and submit project progress reports, financial reports, and other required documentation.
- Ensure timely reporting to funding agencies, partners, and internal stakeholders.
- Maintain comprehensive records of project activities and outcomes.
- Other Duties
- Provide administrative and operational support as needed.
- Perform other tasks as assigned by the Project Manager.
Qualifications & Skills:
- Education:
- Bachelor’s degree in Environmental Science, Engineering, Business Administration, Project Management, Finance, or a related field.
- A Master’s degree is an advantage.
- Experience:
- 1-3 years of experience in project coordination, research administration, finance, or procurement.
- Experience working in academic or research institutions is an advantage.
- Skills:
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills (Vietnamese & English).
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and project management tools.
- Familiarity with financial management, budgeting, and procurement processes.
- Ability to work independently and as part of a team.
